Laptop Encryption – Message from our VP & CIO

Dear Colleagues,

The University’s Mobile Device Management policy requires that all institutionally issued laptops be encrypted.  The majority of University and Health System laptops have been encrypted; however, a small number of laptops issued by the organization and currently in use have been identified as not being encrypted.

You can determine if your institutionally issued laptop has been encrypted or requires encryption by following these simple steps within this document.

If you determine that your institutionally issued laptop is not encrypted, you must take the following action:

1.       Back up the data on your laptop using Box.  All University faculty, staff and students now have access to unlimited data backups via Box cloud storage.  Please refer to these instructions for backing up the files on your laptop to Box.  If you are a Medical Center employee with a Medical Center device, you do not have access to Box cloud storage. Please contact the Help Desk for assistance.

Your data needs to be backed up in the event that something goes wrong during the encryption process.  Although rare and the chances of this occurring are very small, there is a chance that your data would need to be restored.  Backing up the data on your laptop is not required for the encryption process, however if you do not back up the data on your laptop you assume the risk of data loss in the event of any complications during the encryption process.

2.       Bring your laptop to one of the following locations during the specified hours:

Wednesday-Thursday: Last names beginning with N-Z

Institutionally issued laptops that have not been encrypted by March 20 will be restricted from accessing the local network after that date. If you have any difficulty with backing up your files through Box, please contact the Help Desk at 706.721.4000.
